Process 'Invoice Return' only in the case when the stock entry is not done.
To return an invoice, you need to inform the vendor or agent first and get confirmation from them via WhatsApp.
After that, navigate to the 'Inventory' tab, select 'Invoice Return', and click on the 'Add' button.
On the 'Invoice Return' screen, find the invoice by its 'Invoice Entry Number'.
Then, provide appropriate remarks stating the reason for return, and enter the vendor's shipping address in the 'Shipping Address' field. Click on the 'Save/Update' button to save the changes.
Finally, print the 'Invoice Return' form and hand it over to the accountant so that they can prepare a 'Debit Invoice/Packing Slip' as required.
Once the accountant is ready with the proper 'Debit Invoice' slip in the format the vendor requires and when the bale(s) are ready to be picked up by transport, follow the below steps.
When on the 'Invoice Return' screen, click 'New Logistics' and enter the bale(s) handover information to the Transport people, including the E-WayBill number.
Once the accountant sends a properly prepared Invoice Return/Debit note, issue a Gate Pass to have the transport team pick up the return stock bale(s). (Refer to the attached screenshot for guidance.). Here is an example.
Transport will collect the hamali charges from one of the retail locations and provide the LR receipt to the retail store.
The Accountant will receive the LR receipt and use it to prepare a courier addressed to the Vendor along with the original LR and Invoice Return copy. The Accountant will then hand it over to a Warehouse admin.
The Warehouse admin will prepare the Logistics Outward (Refer to the first screenshot) and Cover Outward (Refer to the second screenshot) entries for the Invoice Return and then create a voucher for the return courier.
The voucher will be handed over to the courier employee, who can collect cash from any one of the retail locations.
