To add a new logistics entry, go to Logistics and click 'Add'. This will open a new Logistics Entry Screen. In the Logistics Entry form, choose Deliver Type based on the following scenarios:
Choose 'Transport' - for most scenarios where the transport people would just drop the bales, get the LR stamped, and collect payment altogether towards the end of the day.
Choose 'Courier' - if the transporter needs to get the freight and hamali charges paid immediately.
Choose 'By Hand' - when there is no transporter, freight & hamali charges are involved, this typically happens when we get the stock by either our vehicle or the vendor’s vehicle.
Make sure to capture the LR Number as this will be useful for a quick search in the future. The LR Number is usually located in the transport receipt. Ensure to fill in the 'Transporter', 'No. Of Bales' and WayBillNo fields appropriately based on the transport receipt. Leave the 'Due Date' as it is. There is no need to check the Due Date.
In remarks, please note 'Received by {Person’s name}' & 'Received from {Transport-Station}'. Fill in the 'No. Of Invoices', 'Vendor', 'City', 'Consignee' and 'Address' as per the transport receipt. If the 'Vendor' is not already created in VenX, please create it by going to 'Configuration -> Vendor -> Add'.
Under 'Charges':
For 'LR' in 'Basic' & 'Net Amt', enter freight charges as per transport receipt.
For 'Handling' in 'Basic' & 'Net Amt', enter hamali charges based on our standard document.
Under 'Logistic Value', please enter the Total Amount which includes both freight & hamali charges.
Check the 'With Pass' option only when you have received bales.
Leave the 'With Pass' unchecked only in the scenario where you have received an LR but did not receive any bales, but want to track the lifecycle of sending the LR to transport and then actually receive the parcel.
When you leave the 'With Pass' option unchecked, the LR entry would then go under 'Logistics -> Transport Check', indicating that you have to send the LR to transport people to get the parcel.
When the LR is sent to the transport office, you will find the appropriate LR under 'Transport Check' -> Select 'Sent' and click on 'Transport'.
Now, the LR entry would move to 'Deliver-Bales' where you can check the list of LR's where you are waiting for the bales to be delivered.
Once the bale is received, you find the appropriate LR entry in the list, select 'Delivered' and click on 'Deliver'.
